Booking Conditions

The following booking conditions, together with all information relating to your holiday contained in our website, form the basis of your contract with Black Pear Walking Tours.

HOW TO BOOK

Please fill in a contact form for the holiday you are interested in so that we can confirm availability for your trip and give you an accurate price.  Once we have confirmed availability and price we will send you this information and ask you for a deposit.  The deposit is £50 per person. You can pay the deposit by bank transfer, cheque (made payable to Black Pear Walking Tours) or by debit or credit card.  You can also book by telephone by calling +44 (0) 1684 575282.

PRICE

This includes accommodation, maps and guides and luggage transfers.  It is based on 2 adults sharing a room.  For those travelling as individuals a supplement is usually charged (between £25 and £55 per night) to cover the costs of accommodation and luggage transfer usually shared between two people.  Your holiday pack will be sent to you 4 weeks before commencement of the holiday or will be waiting for you at your first night’s accommodation.

CONFIRMATION AND PAYMENT

Your booking will be confirmed by email or post and will include confirmation of prices, dates and your itinerary.  It will also include an invoice either for a deposit of £50 per person on all tours or the full cost of your trip if you book within 6 weeks of the start date of your trip.  Please sign and return this to us.  Your holiday will be confirmed when we receive a signed copy from you.

SECURITY FOR YOUR PAYMENT

All customers are fully insured for their deposit and subsequently the balance of any monies paid to Black Pear Walking Tours.

YOUR RESPONSIBILITIES

It is your responsibility to ensure that you have a reasonable level of health/fitness, suitable clothes and equipment and you are aware of the risks involved in a walking holiday.  Black Pear Walking Tours will take every precaution to ensure your holiday is as safe as possible; however sole responsibility for your personal safety remains with you.  In the interests of safety you must undertake to follow the advice in the guide book or route notes and take notice of any warning or advisory notices you may encounter on your walk, follow the Country Code and act sensibly and prudently at all times.

INSURANCE

Please ensure that you are properly insured for your trip.  You are responsible for your own health on the trip, and for any damage or loss to your luggage while on the trip.  Black Pear Walking Tours does not accept any liability for damage or loss to any item of luggage or its contents during transportation.  It is your responsibility to ensure that bags are safely packed and contain no valuable and/or fragile items such as laptops, tablets, cameras, mobile phones or glass.

Your insurance should also cover the possibility of cancellation of your holiday by yourself for any reason including cancellation of your trip due to unexpected personal circumstances.  Black Pear Walking Tours cannot accept responsibility for any loss, damage, illness, injury or consequences outside of their control.

CANCELLATION and CHANGES TO BOOKINGS by you

If you wish to cancel you must inform us in writing – by email or by post. If cancelling by post you must send by recorded delivery.  Cancellation fees apply as follows:

For cancellations received more than 56 days before the start of the holiday the deposit will be forfeit, and any other payment towards the cost of the holiday will be refunded. For later cancellations the deposit will be forfeit but any payment towards the holiday will be refunded less the following charges:

56-29 days before: 30% of the total cost is payable

28-15 days before: 50% of the total cost is payable

14-8 days before: 70% of the total cost is payable

7 days or less: 100% of the total

No refund can be given for a cancellation 7 or less days before the start of a holiday or whilst the holiday is in progress.

If you wish to change your itinerary we will do our utmost to accommodate your request.  Changes to the itinerary less than 4 weeks before departure will be treated as a cancellation and re-booking.

CHANGES or CANCELLATION by us

Very occasionally we have to make changes to a holiday after a booking has been confirmed or cancel confirmed bookings.  Whilst we always try to avoid these events we reserve the right to do so.  If we have to cancel your holiday or make a significant change before departure we will tell you as soon as possible and you will have the choice of:

a) accepting the changed arrangement or

b) taking an alternative holiday (and where this is of a lower price we will refund the difference, but where the price is higher we may ask you to pay the difference) or

c) cancelling or accepting the cancellation and receiving a full refund of all monies paid

COMPLAINTS PROCEDURE

If you are unhappy with any aspect of your holiday please contact us immediately so that we can address your concerns.  Please ensure that any verbal complaints are also put into writing and made within 14 days of your return.

FORCE MAJEURE

We cannot accept liability or pay any compensation where the performance of our contractual obligations is prevented or affected, or a customer otherwise suffers any damage or loss as a result of force majeure.  Force majeure means any event which we could not with all due care, foresee or avoid, such as, but not limited to war, riots, fire and natural disaster.
